Money

Under Project management in the menu.

The single money view for the project: quotes, payment schedules, invoices and payments on one lifecycle board, with supplier and phase views and quote comparison.

In this section

  1. Phases board — One row per phase walking the money through budget → quotes → contract & plan → invoiced → paid, with the project-level payment plan underneath.
  2. Quotes & Compare Quotes — Every quote on the project — record them, accept or reject them, and set rival prices side by side.
  3. Invoices — The invoice register: record invoices by hand, from a file, or from the candidates the mail sync found, then submit, approve, dispute or void them.
  4. Payments — What has actually left the bank: paid to date, due in the next 14 days and overdue, with a dialog to record a payment and take a signed receipt.
  5. Financial calendar — The project's money by date: payments made, scheduled and committed payments still to leave, and the invoices and quotes that arrived.
  6. Suppliers statement — A per-contractor statement: their quotes, payment stages, invoices and payments on one page, the way you would reconcile with them.

Methodology: One page follows money end to end — quote received, quote accepted, stages invoiced, invoices paid — so commitments and actual spend never live in disconnected places. Accepting a quote is the moment the payment plan is chosen: the agreed stages become the schedule that invoices are raised and tracked against.

How to use: Phases walks each phase through budget → quotes → contract & plan → invoiced → paid. Suppliers gives a per-contractor statement; Quotes lists every quote; Compare Quotes sets rival prices side by side; Invoices and Payments are the registers; Calendar puts all of it on its dates.

Steps:

  1. Set a rough budget against each phase on the Phases board — every quote is later measured against it.
  2. Record a quote from the Quotes view (Record quote) or from a phase's drill-down; Get quotes there sends a quote request instead.
  3. Expand a submitted quote and press Accept. Choose how it will be paid — Pay in full, Staged payments from a template, or No plan for now; small quotes default to pay in full.
  4. Record invoices on the Invoices view (Record invoice); files and emailed candidates pre-fill the form, and duplicate numbers are flagged.
  5. Record payments on the Payments view (Record a payment) against the stage they settle; cash and cheque payments can take the supplier's signature on the phone.
  6. Use a template on a phase's payment plan when you need stages without a quote, and Compare Quotes when several suppliers priced the same work.
