Insurance

Under Documentation in the menu.

The insurance register: the cover the project needs, the policies you hold, contractor certificates, and periodic policy-condition inspections.

Methodology: The register works as a checklist of the cover a refurbishment normally needs, against which actual policies are recorded — so gaps are visible rather than discovered at claim time. Contractor insurance certificates are held once against the contractor and checked wherever they work; a contractor being put on a job above the threshold, made a phase's default contact, or having their quote accepted must hold current cover at that point, though the owner can override with the reason recorded. Note the check runs when work is ALLOCATED, not when it is paid — raising or settling an invoice does not re-check cover, so if an allocation was made months ago, or with an override, confirm the certificate is still current before paying. Policies that require periodic inspections (an unoccupied-property condition, for example) get a rolling inspection reminder with a calendar feed.

Steps:

  1. Under Policies on file press Add policy: Cover type, Held by, Contractor, Status, Insurer, Policy number, Cover, Excess, Premium, Starts, Expires, then Save.
  2. Work through Cover this project needs — each Needed slot has a Record this cover link — until the gaps are closed.
  3. Under Contractor cover press Request all outstanding to ask a firm for its certificates, or Upload certificate to file one yourself.
  4. Where a policy carries an inspection condition, press Add an inspection condition, then Record inspection each time — the next one is scheduled automatically and can feed your calendar.
  5. Check Possible insurance mentions in jobs, quotes & invoices and mark each It's insurance or Not insurance.
